Cove Mail Privacy Policy

What This Policy Covers

This policy covers the Cove Mail app, website, purchases, subscriptions, and support. Your email provider, payment provider, and any AI assistant you connect have their own privacy policies. You should review those policies before using their services.

Information on Your Mac

Cove Mail stores the email data, account information, and preferences needed to use the app on your Mac. It also keeps limited information about your trial status. This information supports the features you choose.

Your email is accessed directly from the accounts you connect. We do not operate a hosted copy of your mailbox. Sign-in credentials are protected using macOS Keychain, and trial information is not sent to us.

Subscriptions and Licenses

If you have paid or complimentary access, we use the email address, access status, and basic device information needed to provide and support that access. We do not use your email account credentials or email content for licensing.

Website and Payment Information

When you visit covemail.ai or download Cove Mail, the companies that host the site and download may process routine request information such as your IP address, browser type, requested page, and date and time. They use this information to deliver and protect their services.

Payment processing and subscription management are handled by Paddle under its Privacy Notice. We receive the information needed to provide access and support your subscription, but we do not receive or store your complete payment card number. Cove Mail does not currently use a separate website analytics service or advertising trackers, and we do not use email content for advertising.

AI Assistants You Connect

Cove Mail does not include an AI model. If you connect an external AI assistant, you choose the email accounts and actions it can use. The assistant may receive email data returned by the actions you enable. Once an action is enabled, the assistant can run it without another approval from Cove Mail. The company that provides the assistant is responsible for how it handles the information it receives.

Support and Diagnostics

If you contact support, we receive your email address and the information you include in the request. Cove Mail does not send diagnostic reports automatically. If you use the diagnostic tools in the app, you can review the report before you copy, save, or email it. Do not send account passwords, authentication tokens, activation links, or private email content to support.

How We Use Information

We use information handled by our services to:

Process subscriptions and provide paid or complimentary access;
Send activation, recovery, billing, and service messages;
Answer support and privacy requests;
Protect the licensing service and prevent fraud or misuse; and
Keep records required for tax, accounting, disputes, and other legal duties.

Where the law requires a legal basis, these uses are needed to perform our agreement with you, meet legal obligations, protect our legitimate interests in operating a secure service, or act with your consent.

We use service providers to host the website and downloads, maintain licensing records, process payments, and deliver activation and support email. Current providers include GitHub, Amazon Web Services, Supabase, Resend, Google, and Paddle. They process information for the services they provide under their own agreements and privacy notices.

We may disclose information when required by law, to protect people or the service, or as part of a sale or transfer of Cove Mail. We do not sell personal information.

Retention and Deletion

Information stored by Cove Mail remains on your Mac until you delete it. Limited information about your trial status may remain after you uninstall the app. Deleting information from your Mac does not delete information held by your email provider.

We keep licensing and subscription records while access is active and afterward when needed for support, security, fraud prevention, accounting, tax, disputes, and legal obligations. We keep support messages only as long as they are useful for the request or a related legal obligation. Our providers may keep their own records under their retention policies.

Your Choices and Privacy Rights

You can choose which email accounts and AI assistant actions to enable. You can remove email accounts, clear AI activity history, delete local Cove Mail data, cancel subscription renewal, and choose whether to send a diagnostic report.

Depending on where you live, you may also have the right to request access to, correction of, or deletion of personal information we hold about you. You may also have rights to receive a copy, restrict or object to some uses, withdraw consent, or complain to a privacy authority. Email covemailapp@gmail.com to make a request. We may need to confirm your identity, and some records must be kept when required by law. Requests about Paddle's records should also be sent to Paddle.

Security

We use reasonable safeguards to protect information handled by Cove Mail and its online services. No storage or transmission method is completely secure, so we cannot guarantee absolute security.

Children

Cove Mail is not directed to children under 13, and we do not knowingly collect their personal information through our online services. Contact us if you believe a child has provided personal information so we can review and delete it when appropriate.

International Processing

Our service providers may process information in the United States and other countries. Privacy protections can differ by country. Where required, the provider or Cove Mail uses an approved legal method for the transfer.

Changes to This Policy

We will post an updated policy on this page and change the effective date when the policy changes. We will provide additional notice when required by law.
